Bookings, deposits, the waitlist, walk-ins and no-shows.

Who this is for: hosts, waiters, supervisors and managers. Menu: Reservations (reservations.view; booking and seating need reservations.manage).

The day

The page opens on today for your branch (change branch with the branch switcher). Move between days with the arrows or the date box.

  • Day: every booking in time order with the guest, party size, table, occasion, preferences, VIP / birthday / anniversary markers, allergies (red), deposit and status.
  • Tables: a timeline per table (switch All tables on to see empty ones) — spot gaps and double bookings at a glance.
  • Month: bookings and covers per day; tap a day to open it.
  • The figures at the top: bookings, covers, VIP, celebrations, deposits held and no-shows.
  • Waitlist (right): parties waiting now, how long they have waited and what they were quoted (red when over the quote).

Changes made by other hosts appear by themselves.

New booking

Tap New booking. Find the customer (or type the guest’s name and phone — Save as customer creates a profile), choose the date, arrival time, number of guests and how long they will stay. The Table list only offers tables that are free at that time and big enough, smallest first. Add the occasion (birthday, anniversary, business, date night, celebration), VIP, allergies, preferences, notes and the deposit you require. Leave Confirmed off if the guest still has to confirm.

A table already booked at that time, or too small, is refused; Book anyway overrides when you know better (e.g. two tables pushed together).

Before the guests arrive

About 45 minutes before a booking its table shows as reserved on the floor plan with the booking (“BKG-KLA-00012 19:30 Aisha × 8”). Walk-ins can still be seated there if you choose to.

Deposit: open the booking → Take deposit, amount and how it was paid (cash needs your till open). The deposit is kept as credit for the guest and is taken off their bill when they pay with it (customer credit at Pay, code shown on the booking’s customer).

When they arrive

Open the booking:

  • Arrived — they are here (e.g. waiting at the bar).
  • Seat — choose the table (their booked table is suggested). This opens the order on the table with the guest, their allergies, the occasion and your notes; carry on at the till. When the bill is paid the booking is completed and counts as a visit.
  • Edit — change time, party, table, notes, deposit.
  • No-show — counted on the customer’s profile. Managers can forfeit a paid deposit here.
  • Cancel — with a reason.

Bookings not arrived 30 minutes after their time become no-shows automatically (the deposit is kept for a manager to decide unless your business set it to be forfeited).

Managers (reservations.deposits) can refund a deposit (in cash from the till, or back as noted) or forfeit it.

Walk-ins and the waitlist

  • Walk-in: a party without a booking — pick the table and the number of guests; the order opens and the visit is recorded.
  • Waitlist → Add: name, phone, party size and the wait you quoted. Seat them from the list when a table frees up.

Offline

When the till is offline, Bookings on the offline till shows today’s bookings and the waitlist as they were at the last sync (time, party, table, VIP, occasion, allergies, preferences, notes, deposit). Seat opens a dine-in order for the booking on its table (or one you choose); when the terminal syncs, the booking is marked seated with that order. If the booking was cancelled or seated on another terminal meanwhile, the order is kept on its own and the sync page shows a note. New bookings, changes and deposits wait until you are back online.
