What works without internet, how to prepare a till and how sync works.

JupitaPOS works online. When the internet or the server goes away, an offline-enabled terminal keeps trading and sends everything to the server by itself when the connection returns. Nobody has to upload offline sales by hand.

Before the outage: preparing a terminal

  1. Install the app (recommended). In Chrome or Edge on Windows, Android or a tablet, use the Install app button (the download icon next to your name) or the browser’s Install JupitaPOS. On an iPad or iPhone, open Safari’s share menu → Add to Home Screen. The installed app opens full screen and has shortcuts to the POS, the floor plan and Offline sync.
  2. Register the device as a terminal (This device) and have a manager approve it with Offline enabled switched on (Terminals).
  3. Sign in and open the POS once while online. The terminal downloads what it needs to trade — the menu and prices, taxes and service charges, tables, the current shift, the branch’s open orders, payment methods and a block of receipt numbers — and keeps it up to date every few minutes. Nothing else from the database is stored.

Seeing the connection state

The pill at the top shows the state at all times; the bar under it explains what is happening:

Pill Meaning
Online Everything goes straight to the server.
Degraded The network is up but the server is slow or not answering. The till switches to offline trading to be safe.
Offline No connection to the server. Sales are saved on this terminal.
Syncing 12 / 40 The connection is back and offline activity is being sent.
Sync failed Sending failed; it retries automatically. Retry now tries at once.

When something is waiting to be sent the pill adds the count (Offline · 3 pending) and the bar shows the last successful sync.

Selling offline

The till changes to the Offline till (red badge) on its own.

  • New order: counter, takeaway, café, bar, dine-in (pick a table — occupied tables open their order), staff meal or complimentary. Tapping a product with no order open starts a counter order.
  • Products, sizes and modifiers work as usual, at the prices the terminal downloaded.
  • Send marks the items sent. The kitchen gets the ticket when the terminal syncs (or print it from the kitchen printer if your setup prints from the till).
  • Pay offers cash and the manual methods your business allows offline (for example mobile money or card taken on a standalone machine, with the transaction reference). Methods that need the internet, gift cards, vouchers, customer credit, house accounts and anything needing a supervisor show Online only and cannot be chosen.
  • Receipt: printed with a number from the terminal’s reserved block and marked Issued offline. Recent lists offline sales for reprints.
  • Orders shows the branch’s open orders as they were at the last sync plus the ones taken offline; you can add to them and take payment.
  • Shift shows the till, float and the expected cash including cash taken offline.
  • Wastage records a loss from a store (item, quantity, reason).
  • Requisition requests stock from a store; it is submitted when the terminal syncs.

Not available offline: refunds, voiding items already sent, discounts, cancelling orders that were sent or paid, reports and administration. After 72 hours without a connection (configurable) the terminal stops opening new orders until it reconnects; open orders can still be paid.

A reload or a restart while offline is safe: the installed app opens the offline till with everything taken so far.

When the connection returns

The terminal syncs by itself: the pill shows Syncing processed / total, then Online. When everything is sent and no order is half taken the normal till comes back with the server’s numbers (offline order numbers like OFF-KLA-T11-0001 become ORD-KLA-000210). If an order is being taken at that moment, finish it (send, pay or clear) and the till switches back.

Signing out with offline sales still waiting is allowed after a warning: they stay on the terminal and are sent at the next sign-in on it.

For managers: Offline sync

Offline sync (/sync, permission sync.view) shows:

  • This device: its state, what is waiting and Sync now.
  • Conflicts that need a decision, with what the terminal captured. Most are notes — the sale was kept (price changed, item sold out, table taken, cash taken with the till closed, receipt renumbered): Acknowledge them. Some hold an event (an item deleted since, a payment for an order already paid online, removing an item already sent): fix the cause and Retry, or Discard with a note. Resolving needs sync.resolve.
  • Offline terminals: last heartbeat, last sync, pending events.
  • Recent sync runs with applied / duplicate / conflict / rejected / waiting counts and clock differences.

Offline sales, tenders and receipts are marked as captured / taken / issued offline in orders, payments and receipts.
