On this page

Who this is for: dispatchers, supervisors, managers, cashiers settling rider cash, and the riders and drivers themselves. Menu: Delivery (delivery.view; assigning needs delivery.dispatch; zones and couriers need delivery.manage; taking rider cash needs delivery.cash) and, for couriers, My deliveries (delivery.complete). Online orders before dispatch: Online orders.

How a delivery flows

order accepted → kitchen → ready at the pass
   → assigned to a courier → Picked up → On my way → Delivered (proof, cash)
                                               └→ Could not deliver → retry / returned

Each delivery has a number (DLV-000001) and a full history (tap the number). Every step is recorded with who did it and when, and the customer’s tracking page follows along (on the way, delivered).

Dispatch

The Dispatch tab shows the branch’s deliveries in lanes: Awaiting a courier, Assigned, On the way, Problems and Done (12 h). A card shows the recipient and phone, the address (tap for the map), the scheduled or promised time, the cash to collect, and whether the food is not in the kitchen yet or ready.

  • Assign — pick a courier who is on duty (the list shows how many active deliveries each has). Choose Assign a courier… again to unassign.
  • Auto-assign — assigns every waiting delivery due within the hour: idle couriers first, then whoever has the fewest active deliveries. Deliveries scheduled later wait until their hour.
  • Problems — for a failed delivery, Retry with… a courier (the same or another) or Returned to store (then refund or remake it at the till).

Changes from the couriers’ phones and the kitchen appear by themselves.

The courier app (My deliveries)

Riders and drivers sign in with their own staff login (role Delivery rider) on their phone and open My deliveries. A manager links the login to the courier (Couriers → Courier app login).

  • On duty / Off duty — only couriers on duty can be assigned. You cannot go off duty with deliveries on the way.
  • Each delivery shows the address (opens the map), the customer’s phone (tap to call), the rider directions and Collect … cash or Paid — nothing to collect.
  • Picked up — once the kitchen has it ready (Waiting for the kitchen until then). This clears it from the expeditor’s pass.
  • On my way — the customer sees it is on the way.
  • Delivered — record the proof the restaurant uses:
    • Delivery code: ask the customer for the 4-digit code on their tracking page;
    • Received by: the name of whoever took it;
    • Signature: the customer signs on the screen;
    • Photo of the hand-over. For cash on delivery, enter the cash received (at least what is due). The order is then complete and closes.
  • Could not deliver — say what happened (no answer, wrong address, refused). Dispatch decides what next.

The app shares your position while you are on duty and the app is open (if you allow location) so dispatch sees where you last were.

Cash on delivery and settling

Cash collected by a courier is recorded on the order at once, but it is not in any till yet — the courier holds it. The Couriers tab shows each courier’s cash held.

At the end of a run or shift the courier hands the cash to a cashier with a till open: Settle cash → count it, enter Counted and a note if it does not match. The expected amount, the counted amount and the difference are recorded (CST-00001), the cash goes into your till as a cash-in, and the deliveries are marked settled. Past settlements are on Cash settlements.

Couriers

Add courier — code (e.g. RID-01), name, phone, kind (Rider, Driver, Partner courier), vehicle and plate, the Courier app login (optional — partner couriers usually have none and are dispatched by phone), and whether they are active. The list shows who is on duty, their active deliveries, deliveries done today and cash held; On duty / Off duty can be switched for them.

Zones and fees

Add zone — where the branch delivers and what it costs:

Field Meaning
Covers A radius around the branch (km, needs the branch’s map position and the customer’s location), or Named areas (comma separated, e.g. “Ntinda, Bukoto, Naguru” — customers pick their area from a list)
Delivery fee Added to the order
Minimum order Below this the customer cannot check out
Free delivery over (optional) Fee waived at or above this basket value
Delivery time (minutes) Added to the earliest delivery time and shown to the customer
Order (first match wins) Put inner, cheaper zones before outer ones
Active Switch a zone off without deleting it

An address outside every zone is refused at checkout (“does not deliver to that address yet”).

Scheduled deliveries

Customers can schedule a delivery for a later slot when the storefront allows it. Once accepted, the kitchen gets it in time for the slot; it waits in Awaiting a courier and auto-assign picks it up from an hour before.

Quick answers

  • The courier can’t press Picked up. The kitchen has not finished — the button says Waiting for the kitchen.
  • The customer lost their code. Their tracking page (the link from checkout, or Account when signed in) shows it. The code is never shown to staff, so nobody can skip it; if the customer really cannot get to it, report Could not deliver and dispatch sorts it out with the customer by phone.
  • Cash held does not match. Settle what was counted and write the reason in the note; the variance stays on the settlement for the manager.
